Must be able and willing to work evenings and weekends, as needed.

 

POSITION SUMMARY:
Reporting to the Guest Services Coordinator and the Garden Store Manager, this position is responsible for assisting in the coordination of daily operations of Garden admissions, reservations, retail sales and /or bar service. The Guest Services Assistant will deliver excellent customer service and meet the highest quality standards in the day to day retail and/or admissions process through assuring courteous, timely greeting of all guests (daily guests, class participants, group members and event participants) by providing information regarding current and upcoming events and programs offered at the Garden and by assuring Guests have information to enjoy a positive experience at the Garden. A significant number of Garden guests are visiting for the first time and it is critical that the Garden provide a positive overall experience. The position includes working weekends, evenings, holidays and public Garden events. Employees in this position are required to wear a uniform and follow the Garden’s dress code.

RESPONSIBILITIES/DUTIES/TASKS:

  • Conduct admissions and/or retail transactions, include alcohol sales for all types of guests.
  • Work in the Garden Store will require merchandising, display, receiving, inventory and working with a POS system.
  • Assist in orientation of all groups.
  • Facilitate orientation of private events clients by assuring proper contact with the private events department.
  • Greet all guests and service their basic requests while seeking opportunities to maximize their relationship with the Garden by up-selling memberships, continuing education classes, and stores merchandise.
  • Offer the highest quality of customer service; provide support for requests or help resolve conflicts that arise in guest relations.
  • Be knowledgeable about all aspects of the Garden, be articulate about upcoming events and programs and communicate this information to guests. Store personnel should have particular product knowledge.
  • Ensure all promotional materials and information are accurate and available for guest.
  • Oversee information systems for tracking all guests through Altru.
  • Oversee information systems used for conducting retail and bar sales.
  • Responsible for receiving and handling money, counting change and accurately closing the register daily.
  • Complete daily reports and closing procedures.
  • Maintain professional work area and ensure a professional presentation to the public at all times.
  • Assists Guest Services Supervisor in training of staff.
  • Guest Service Assistants may be cross-trained and/or asked to specialize in one or more areas including: Admissions Procedures (to include additional cash handling responsibilities,) Reservations, Garden Store Sales and Display, alcohol sales and Garden Store Plant Care.

CONTACTS:

As an employee representing Daniel Stowe Botanical Garden, the individual selected for this position will be expected to make a commitment to providing the highest quality of customer service to the Garden’s internal and external customers in every interaction. This position is critical in providing support for a number of internal and external customers and is expected to maintain confidentiality of institutional information particularly relevant to the budget.

Internal Customers: Daily interaction with visitor services team members, marketing team members, and education team members is required. The admissions area functions in conjunction with the Garden store, with staff floating between those areas. Less frequent interaction with development team members, private events team members, administration team members, facilities team members and horticulture team members will also be required.

External Customers: Regular interaction with daily guests, school children, teachers, groups and garden members. Less frequent interaction with private event clients, technical consultants, various vendors and stakeholders.

EXPERTISE MINIMUM DESIRABLE

B. Experience/Training One year of relevant experience Over one year of relevant experience
 

OTHER REQUIREMENTS:

  • Ability to work a flexible schedule that includes evenings and weekends is required
  • Advanced computer skills, including working with a database is required
  • Experience in cash register operation
  • Ability to work in a fast-paced, change oriented environment
  • Excellent customer service skills
  • Excellent communication skills and the ability to work in a team environment
  • Ability to deal with problems and questions in a timely, courteous and professional manner
  • Must be willing to wear a uniform and work outside as needed.
