POSITION SUMMARY:

Membership Services Coordinator is responsible for maintaining the organizational infrastructure for membership and donor support. The Coordinator works collaboratively with internal teammates across departments and with external organizations in planning, coordinating and executing activities in support of membership/donor data integrity, special events and communication. Full time 30-40 hours per week. Flexible hours required including weekends and evenings. This position is eligible for benefits including, but not limited to, medical, dental, vision, and retirement. 

RESPONSIBILITIES/DUTIES/TASKS:

  • Process all memberships and donations through data entry into a computer database, including accurate transmittal of batch reporting to the accounting department, production of membership materials, coordination of matching gifts, and generation of all thank you letters in established time line.
  • Ensure consistent and timely delivery of all member and donor correspondence.
  • Prepare all membership renewal materials and generate monthly mailings.
  • Work with Guest Services to provide point-of-sale membership sales materials and ensure correct and accurate information is received for membership processing. Works at the membership desk during a designated portion of daily hours the Garden is open.
  • Work with Garden Store manager on special membership incentives and seasonal gift packages.
  • Respond promptly to all phone and website inquiries for membership sales and inquiries.
  • Balance all development department financial records with the accounting department on a monthly basis.
  • Provide membership information, reports, and statistics to Director of Development as requested.
  • Works with the database support infrastructure and Technology Coordinator on software updates, back-ups, correcting system errors and database maintenance to ensure that the integrity of the membership and development database is maintained.
  • Assist in the coordination of special membership and donor campaigns.
  • Help coordinate special cultivation and stewardship events.
  • Work with current vendors to maintain Garden membership benefits and explore opportunities for enhanced membership benefits.
  • Conduct surveys of membership to determine ideas for enhanced benefits, membership events and incentives for membership retention.
  • Support the use of volunteers in the department including recruitment, training, preparing work, and supervision.
  • Initiate solution-oriented support for the membership program and make recommendations for enhancements and improvements.
  • Provide excellent customer service for DSBG Members & prospects.
  • Provide general administrative support for the administrative offices.
  • Perform other duties as assigned.

POSITION REQUIREMENTS:
 

Expertise       Minimum Desirable   
Education Associates Degree or equivalent Bachelor's Degree
Training Previous work in nonprofit development or marketing. Management of large membership program.
  Experience working with Blauckbaud software products. Preferably Altru
